This Privacy Policy explains how HVAC Service Fast (“we,” “us,” or “our”) collects, uses, and shares information when you use our website (the “Site”). By using the Site, you agree to this Policy.
HVAC Service Fast is operated by KARAT TECHNOLOGY LTD, a company registered under number 15914860, with its registered office at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom. KARAT TECHNOLOGY LTD is the data controller responsible for the personal information described in this Policy. You can reach us at [email protected].
1. Information We Collect
- Business listing submissions: When you submit the “List Your Business” form (including when you claim an existing listing), we collect your first and last name, business name, email address, phone number, website, postal address, social media links, years of experience, licence number, insurance status, the services and areas you cover, any description you write, and any logo or photographs you upload. We also record your IP address and the date and time you accepted our Terms, as proof of consent.
- Contact form: Your name, email address, subject, message, and IP address.
- Automatically collected: IP address, browser type, device information, referring pages, pages viewed and similar usage data, collected through cookies and analytics tools.
- Cookies & similar technologies: Used by us and by our advertising and analytics partners. See our Cookie Policy.
We do not ask for and do not intentionally collect special category data (such as health, biometric or political data), and we do not collect payment card details — the Site is free and processes no payments.
2. How We Use Information
- To review and publish business listing applications.
- To operate, maintain, and improve the Site.
- To respond to inquiries and provide support.
- To measure traffic and serve relevant advertising.
- To comply with legal obligations and prevent abuse or fraud.
3. Advertising & Analytics
We use third-party services such as Google Analytics and Google AdSense. These providers may use cookies to serve and measure ads based on your visits to this and other sites. Google may use advertising cookies to personalize ads. You can learn more and opt out via Google Ads Settings and aboutads.info.
4. How We Share Information
We do not sell your personal information. We may share information with service providers who help us operate the Site, with advertising/analytics partners as described above, or when required by law. Business listing details you submit for publication will be displayed publicly on the Site.
5. Legal Bases for Processing (UK/EU Visitors)
Because KARAT TECHNOLOGY LTD is established in the United Kingdom, we process personal data under the UK GDPR (and the EU GDPR where it applies). We rely on the following legal bases:
- Contract / steps at your request (Art. 6(1)(b)): to review and publish your business listing and to respond to your enquiries.
- Legitimate interests (Art. 6(1)(f)): to operate, secure and improve the Site, to prevent spam and abuse, and to compile a directory of publicly available business information. We balance these interests against your rights and you may object at any time (see below).
- Consent (Art. 6(1)(a)): for non-essential cookies and personalised advertising, where required. You may withdraw consent at any time; withdrawal does not affect processing carried out beforehand.
- Legal obligation (Art. 6(1)(c)): to keep records we are required to keep and to respond to lawful requests.
6. Your Privacy Rights
6.1 UK & EU (GDPR)
You have the right to: access a copy of your personal data; rectify inaccurate data; request erasure; restrict or object to processing (including direct marketing and profiling for advertising); receive your data in a portable format (data portability); and withdraw consent where processing is based on consent.
We will respond within one month, which may be extended by two further months for complex requests. Exercising these rights is free of charge unless a request is manifestly unfounded or excessive.
If you are unhappy with how we handle your data, you may complain to the UK supervisory authority, the Information Commissioner’s Office (ICO), or to your local EU supervisory authority. We would appreciate the chance to address your concern first.
6.2 California Residents (CCPA/CPRA)
In the past 12 months we have collected the following categories of personal information: identifiers (name, email, phone, IP address), commercial/business information (business details you submit for listing), and internet or network activity (pages viewed, device and browser data). These are collected directly from you and automatically through cookies, as described in Section 1, and are disclosed for a business purpose to the service providers and advertising/analytics partners described in Sections 3 and 4.
You have the right to know what personal information we collect, use and disclose; to request deletion; to request correction; to opt out of the “sale” or “sharing” of personal information; and to non-discrimination for exercising these rights — we will not deny you service or provide a different quality of service because you exercised them.
“Sale” and “sharing”: We do not sell your personal information for money. However, our use of third-party advertising cookies (such as Google AdSense) to deliver personalised advertising may be considered a “sale” or “sharing” of personal information under the CCPA/CPRA. To opt out, adjust your Google Ads Settings, use the industry opt-out tools at aboutads.info, enable a Global Privacy Control (GPC) signal in your browser, or email us at [email protected] with the subject line “Do Not Sell or Share My Personal Information”.
We aim to confirm receipt of requests within 10 business days and to respond within 45 days (extendable by a further 45 days where necessary). You may use an authorised agent to submit a request on your behalf; we may ask for proof of their authority and for information to verify your identity.
6.3 How to Exercise Your Rights
Email [email protected] or write to the postal address in Section 10, telling us which right you wish to exercise. To protect your privacy we may need to verify your identity before acting, and we will only use the information you provide for that purpose.
7. International Data Transfers
We are based in the United Kingdom and the Site serves visitors in the United States and elsewhere, so your information may be transferred to and processed in countries other than your own — including by our hosting, email and analytics/advertising providers. Where personal data is transferred out of the UK or EEA, we rely on appropriate safeguards such as UK adequacy regulations, the UK International Data Transfer Addendum, or Standard Contractual Clauses.
8. Data Retention & Security
We keep information only as long as necessary. In practice: published business listings are kept while the listing remains on the Site (and until you ask us to remove it); rejected or withdrawn applications are deleted within 12 months; contact form messages are kept for up to 24 months; and analytics data is retained according to our providers’ standard retention periods.
We use reasonable administrative and technical safeguards, including encrypted connections (HTTPS), restricted administrative access, and re-processing of uploaded images to strip embedded data. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. Children’s Privacy
The Site is not directed to children under 13 (or under 16 in the UK/EEA), and we do not knowingly collect information from them. If you believe a child has provided us with personal data, contact us and we will delete it.
10. Changes to This Policy
We may update this Policy from time to time. Changes are effective when posted, and the “Last updated” date above will reflect the revision.
